How to Use This Timesheet

  1. Set week-ending date (Sunday). The Mon-Sun row labels are fixed; the date references the Sunday at week-end.
  2. Fill AM In / AM Out — morning shift times. AM Out is your lunch start.
  3. Fill PM In / PM Out — afternoon shift times. PM In is your lunch end; PM Out is end-of-day.
  4. Watch the daily totals auto-fill, plus the lunch column showing the AM/PM gap.
  5. Print or copy CSV. Print for paper sign-off; Copy CSV for ADP/Paychex/Gusto upload.

The History of the Weekly Timesheet

In 2026, a Pittsburgh non-profit office manager closing weekly timesheets for 18 hybrid-schedule staff, a Brooklyn coworking-space proprietor needing daily Mon-Sun hour totals for a billable client, a Memphis warehouse shift supervisor signing off on driver hours under DOT 60/70-hour limits, and a Boise solo accountant tracking 40 hours of client work across 6 engagements all need a paper-style timesheet they can fill, print, and sign. The paper timesheet is a 1949 invention. Frank Lautenbach's Automatic Data Processing — founded as 'Automatic Payrolls' in Patterson, NJ — distributed pre-printed weekly timesheets to its first 100 small-business clients, then keyed the hand-written hours into IBM tabulating machines. By 1957, ADP had grown to 9,000 employees. The basic format — day rows down, columns for in/out/break/total — was settled by 1955 and is still the dominant printable form in 2026, even as cloud timesheet apps (Toggl, Harvest, Clockify, ClickTime) move the entry layer online.

Timesheet best practice is governed by 29 CFR §516.2 (FLSA recordkeeping) and IRS Publication 15 (Employer's Tax Guide). Required fields under FLSA: employee name, identifying number, address, occupation, sex, birth date if under 19, time/day workweek begins, hours worked each day, total hours each workweek, basis on which wages paid, regular rate, total straight-time earnings, total overtime, total wages each pay period, deductions, and date of payment. Records must be retained 3 years (basic payroll) or 2 years (supplementary supporting records).

Daily timesheet rounding is a frequent audit issue. The DOL allows three rounding conventions under 29 CFR §785.48: nearest 5 minutes, nearest 6 minutes (1/10 of an hour, 'centesimal'), or nearest 15 minutes (1/4 of an hour) — but ONLY if the rounding averages out neutrally over time. Systematic rounding-down (e.g., always 'round down to nearest 15') is a per-se violation. Best practice for printable timesheets is to record exact times and let the math software handle rounding, rather than have the employee round manually.

Industry-specific timesheets vary widely. Construction uses 'crew timesheets' with one column per worker and rows for each job-cost code (per AIA Document G700 family). Healthcare uses 'time-and-attendance' sheets with patient-care ratios (per CMS Conditions of Participation 42 CFR §482). Legal uses 'billable hours' sheets with 6-minute increments (per ABA Model Rule 1.5). Restaurants use POS-integrated 'clocking-by-job' (tipped vs. non-tipped roles) per 29 CFR §531.59. The Mon-Sun column-form remains the lowest common denominator.

The shift away from paper to mobile geofence timesheet apps (TSheets/QuickBooks Time, Deputy, When I Work, Connecteam) accelerated 2018-2024. Pre-COVID 2019, the BLS American Time Use Survey reported 73% of US workers self-reported their hours; by 2024 only 51% did. The remainder used app-based clock-in. Yet printable Mon-Sun timesheets remain mandatory for federal contractor reporting under SF-1444, NIH grant time-and-effort (2 CFR §200.430), and many state public-works projects.

Going forward, the AI Agents wave of 2025-2026 is reshaping timesheets. Microsoft Copilot Hours, Google's Worktime extension, and Anthropic's Claude work-tracking integration can auto-populate timesheets from calendar events, Slack activity, and IDE telemetry. The 2024 California AB 2602 (Automated Decision Systems Accountability Act) requires worker consent before AI populates official time records.
